EXHIBITOR DO'S AND DON'TS

 

The following list includes some of the most common issues that Exhibitors need to be aware of in planning their 2013 participation. You'll find the complete list of rules & regulations HERE

 

  • Within Booth Only - Exhibitors must not disbribute promotional material from any location outside of their assigned booth space. This includes restrooms, restaurants, workshop rooms and any other public area within or outside of the convention center.
  • Convention Center Exterior Property - Exhibitors may not post ads or any other form of advertising/marketing media on any structure, vehicle or device on the exterior grounds of convention center property.
  • Taste and Decorum - Exhibitors may use professional models within their booth space, however, the models must be tastefully dressed. (as determined by NADA Show Management.) They must also remain in the assigned booth space and cannot walk the exhibit hall aisles or other areas of the convention center for the purpose of soliciting business or directing/escorting attendees to their booth.
  • Audio or Visual Display Equipment - Exhibitors using audio systems and/or live entertainment must keep amplification at a conversational level. The use of speakers will be permitted only if they are within the confines of the contracted exhibit space and facing inward and not toward the aisles. Adequate sound insulation must be built around the speakers to assure non-interference with neighboring exhibitors.
  • No Live Animals - Live animals will not be allowed within any booth space or the exhibit hall. Service dogs are allowed under ADA guidelines.
  • No Peanuts or Popcorn - Peanuts or popcorn in any form are not allowed in the exhibit halls.
  • No Packing Up Early - Monday's final day is a full exhibit day from 8:30 am to 3:30 pm. Exhibitors ARE NOT authorized to pack up their booths until the closing announcements have been made.

 

CHARTER DROP OFF FOR LIMOS, VANS, MINIS, BUSES

 

All chartered vehicles must drop off at the West Entrance of the Orange County Convention Center. Only vehicles with attendant drivers will be allowed to hold at the Charter Drop area. Limos and sedans may drop off at the C Hall circle, but no holding will be permitted along the front driveway.

 

FLORIDA SALES & USE TAX INFORMATION

 

The Florida Department of Revenue is required to survey special events/trade shows for compliance under 212.06, F.S., which such events involve the sale, or offering for sale of tangible personal property.

 

All persons selling tangible personal property are required to collect and remit the tax to the Department of Revenue. If you have questions regarding this, please contact Taxpayer Services 800-352-3671.

HURRY! HOTEL CUT-OFF IS DECEMBER 14, 2012

 

For companies with room blocks of 10 or more rooms…Your company's official contact is responsible for entering your rooming list online by the deadline of December 14, 2012. You may also submit a rooming list to NADA Registration and Housing via fax to 847-996-5401 by this deadline.  Any rooms not used in your block by December 14 will automatically be released into general inventory for re-sale.

 

All confirmations will be sent to the Official Contact, not individuals.  If your Official Contact relating to housing has changed or you need technical assistance, please contact NADA Registration & Housing directly at nadaexh@experient-inc.com.  All changes and cancellations must be submitted in writing and should be emailed to nadaexh@experient-inc.com or faxed to 847-996-5401.

All NADA Exhibitors get their own eBooth listing on the NADA Convention Website as part of their booth space cost.  BUT… many companies have not activated their online company profile, which will make it harder for the NADA/ATD attendees to get the 411 on your company when searching for a specific product or service.  Don’t you want to make it easy for customers to find your company online?

Have you updated your company's online eBooth company/product description and contact information?  Your ebooth listing on the NADA/ATD convention website is where show attendees will be looking to find you and plan their Expo shopping before, during and after the Orlando show.  If you haven't updated your eBooth profile, click here to do it now!  All companies must "SAVE" their current information or "SAVE" to update any new information added.  This information will also be downloaded for the onsite Program Directory.

 

BOOK HOTEL ROOMS & REGISTER FOR BOOTH BADGES NOW

 

All confirmed exhibitors should have received an email from Experient, NADA’s Registration & Housing company, with instructions and information to reserve hotel rooms within the NADA/ATD Hotel Block, and to register your booth staff for their complimentary badges.  Hotels are selling out, don’t wait too late to book your hotel rooms.

 

Beginning next Tuesday, October 16, NADA’s official housing vendor, Experient, will be launching our Exhibitor Outreach Program that focuses on those exhibitors who have not yet made their hotel reservations for the Orlando show.  Several hotels have already sold out, and there is another city-wide event over our dates.  Let us help you secure hotel rooms for the show.  By the way, did you know?  All exhibiting companies that book hotel rooms within the NADA Hotel Block will secure an extra seniority point toward their future booth assignments.

NADA EXPO FLOOR PLAN TO BE EXPANDED FOR THE 2013 ORLANDO SHOW

 

Due to the high demand for booth space, NADA is working ot expand the footprint of the Expo Hall in Orlando.  The updated floor plan is scheduled to be finalized this week.

 

LIMITED HOTEL AVAILABILITY IN ORLANDO - DON'T DELAY BOOKING YOUR ROOMS

 

With another city-wide convention happening during the NADA/AD Convention & Expo, hotel rooms are at a premium in Orlando.  Once your booth is assigned and confirmed, you'll receive an email from Experient, NADA's Housing/Registration company, with information and instructions on booking hotel rooms and registering your staff booth badges.  Don't wait to book your rooms or you may not be able to secure space within the NADA Hotel Block.  Also remember that companies that book within the NADA Block will secure an additional seniority point to use for the following year's booth assignment process.

 

eBOOTH COMPANY UPDATE

 

Once assigned, you'll receive an email confirmation notice that provides information and instructions on setting up or updating your company's online company description on NADA's website.  This information will be downloaded for use in the onsite Program Guide.  Don't wait to provide this information.  Your customers and prospects will be looking for you online when they begin planning their NADA schedule.  And we're working on some new offerings to enhance your company's eBooth experience - including the option of adding video downloads to your company's product description.  More information will be coming soon.

NADA AND ATD BOOTH ASSIGNMENTS - GET IN THE FIRST ROUND

 

Have you submitted your application for booth space yet?  Orlando is always a popular venue for The Automotive Industry Event of the Year.  The number of booth applications already received is up 22% over last year.  And with NADA's new 3-tier pricing system, there's a price point for every company looking to exhibit.  If you're looking for prime space at the 2013 Orlando show, don't wait.  Get your Application in by August 10, and you will qualify to be included in the first round of booth assignments!  Note that we will continue to accept booth space applications after August 10, and will assign space until the show is sold out.  How to Exhibit, click here.

Also note that the Exhibitor Red Carpet Lounge will be located within the Exhibitor Registration/Services area.  In addition to the two large perimeter Restaurant areas, you'll also see that there are some "Neighborhood Eateries" placed throughout the hall.

 

CONVENTION WEBSITE LAUNCH DATE

 

July 23rd is the official launch date of the NADA and ATD convention websites, and the online Booth Space Application/Contract will be available at that time.

Contracts received by August 10, 2012 will be included in the FIRST ROUND of assignments based on the following list of criteria.  Contracts received after August 10 will be included in the SECOND ROUND of assignments based on date of receipt.  A 50% deposit is due when the booth space application/contract is submitted.  The final booth payment is due on December 5, 2012.

• Prior years of NADA or ATD exposition participation by applicant
• Date of receipt of application/contract
• Size of Space
• Degree of dealer interest in applicant's product(s) and/or service(s)
• Established business relationship with NADA or NADA Services Corporation (NADASC)
• Percentage of similar services or products in entire show
• Geographic market served by applicant
• Applicant's product and/or service reputation among dealers
• Number and validity of dealer complaints against applicant

Booth assignments will begin on August 13th and will continue until the show is sold out.  You will be able to view the online floor plan to keep track of the assignment process in real time.

This update contains important information relating to the 2013 NADA Convention & Expo and the 2013 ATD Convention & Expo.  Show dates are February 9-11, 2013 in Orlando, Florida at the Orange County Convention Center.

 

2013 NADA & ATD SHOW SCHEDULE

The Expo Hall hours are listed below.  Note that the opening times have been adjusted to provide a consistent time each day.  Also note that Monday's final hours have been shortened.

    Saturday, February 9 - 8:30 a.m. to 4:30 p.m.
    Sunday, February 10 - 8:30 a.m. to 5:00 p.m.
    Monday, February 11 - 8:30 a.m. to 3:30 p.m. (Earlier closing time)

 

BOOTH PRICING

NADA
Regular booth space - $31 per square foot

Premium booth Space - $35 per square foot
For booths positioned in premium locations. These booths are valued for their top visibility and accessibility during the show, and are identified and highlighted on the floor plan.

Enterprise booth space - $26 per square foot - NEW THIS YEAR!
For booths positioned along targeted perimeter areas of the Expo Hall, these spaces are identified and highlighted on the floor plan.

ATD
Regular booth space - $21 per square foot
The American Truck Dealers Convention & Expo will again be taking place with the NADA Convention & Expo.  ATD will have a designated Zone within the Expo Hall.

For all booth space, a 50% deposit of the total cost is due upon submission of your online booth space application/contract. The remaining balance due is payable on or before December 5, 2012. Applications received without the required deposit will not be processed, and may adversely affect your booth assignment. Full payment must accompany applications submitted after December 5, 2012.

Ride the Momentum in 2013

The NADA & ATD Expos are heading to Orlando, Florida next February at the Orange County Convention Center - West Building.

    Convention Dates: February 8-11, 2013
    Expo Dates: February 9-11, 2013

For companies planning to exhibit at this premier industry event, the online booth space application/contract will be available on our convention website on July 23, 2012 at
www.nadaconventionandexpo.org.  This website will also become a powerful exhibit planning tool with all of the information, education and updates you'll need to plan a successful exhibit experience for your company.

Meanwile, here's a preview of what your NADA/ATD Expo Team is working on for the 2013 Show.

  • Increased food services and seating within more 'neighborhood' eateries spaced throughout the Expo Hall.  These themed smaller restaurants are in addition to two larger perimeter restaurants that will combine to help keep buyers on the show floor.
  • Consistent Expo Hall openings each day at 8:30 a.m.  Monday's Expo closing time has been adjusted from 5:00 p.m. to 3:30 p.m.
  • The "Social Connection Zone" will be relocated to the central area of the Expo Hall with an inviting lounge floor plan and a double-sided Twitter Fountain.  NADA's social media efforts will continue to expand to enhance communication with exhibitors and attendees throughout the year.
  • The Mobile Applications are being upgraded to provide more sophisticated navigation through the event with the use of smart technology.
  • We are creating "Enterprise Zones" (NADA only) around the perimeter areas of the floor plan that offer discount pricing to attract exhibitors to targeted sections of the Expo Hall.
  • We adjusted the complimentary exhibitor badge allotment formula to provide 5 badges per 100 s.f. of exhibit space - up to a maximum of 60 badges per company.  (The old formula previously used was 4 badges per 100 s.f. - up to a maximum of 40 badges per company.)
  • The online booth space application/contract process will be upgraded so that companies can provide multiple contact personnel names & emails to receive ongoing show planning information throughout the year.
  • Exhibitors will receive access to monthly attendee registrant lists (September through January) posted on our website.  Demographic data will also be provided to help companies make better quality connections and cross reference with their own in-house database programs.
  • Enchanced eNews Updates format to link exhibitors to a website page display of news and updates for their show planning.
  • Increased Floor Manager staff will be available onsite to better service exhibitors during set-up of the show, and to more effectively monitor and handle complaints, violations or abuses during Show Days.  Updated uniforms will provide better visibility so that Floor Managers are easier to identify.
